5 Best Zoho CRM Alternatives We’ve Tried

Zoho CRM gives you a ton of functionality for the money. But all those features, settings, menus, and customization options can also make managing your CRM feel like another job you’re responsible for.

If that’s why you’re looking for a Zoho CRM alternative, we’ve got some options for you. We’ve spent time playing around with each CRM on this list, digging through the features, building pipelines, adding contacts, and getting a feel for what they’re actually like to use.

We also compared our experience with feedback from real users to see where our impressions lined up and where other businesses ran into problems over time. No CRM is perfect, and we’re not going to pretend these five are.

Some are much easier to use than Zoho. Some are better at one particular job. And each comes with a tradeoff you should know about before switching.

Here are the five Zoho CRM alternatives we’d put on your shortlist.

1. What Are the Best Zoho CRM Alternatives?

After spending time inside each of these CRMs, one thing became pretty obvious: there isn’t a single Zoho CRM alternative that’s better at everything. Each one solves a slightly different problem, so the best choice really depends on what you don’t like about Zoho in the first place.

We’ve played around with the pipelines, contacts, workflows, automation, and everyday sales tools in each platform. We’ve also compared our experience with feedback from long-term users, because it’s one thing to like a CRM after an afternoon and another to live with it every day.

Here are the five Zoho CRM alternatives that stood out to us:

  • HubSpot: Best overall Zoho CRM alternative. Excellent at keeping the entire history of a customer relationship in one place, but costs can climb as you need more.
  • Pipedrive: Best for sales-focused businesses. Its visual pipeline keeps you focused on moving deals forward, although growing teams may eventually bump into its limitations.
  • Freshsales: Best for automating everyday sales tasks. It handles a surprising amount of follow-up busywork without making automation overly complicated, but we weren’t as impressed with its reporting.
  • monday CRM: Best for service businesses. We like that you can connect sales with onboarding, projects, and the work that happens after the deal closes, but you’ll probably spend more time configuring it.
  • Less Annoying CRM: Best for CRM beginners. It’s refreshingly simple and feels like a CRM you’ll actually keep updated, but that simplicity means giving up some of the advanced tools you’ll find elsewhere.

If Zoho feels like it’s giving you 100 different things when you really need 20, pay particular attention to Pipedrive and Less Annoying CRM. If you still want plenty of horsepower but would rather have a different experience getting to it, HubSpot, Freshsales, and monday CRM are where we’d start.

1) HubSpot

HubSpot is probably the first Zoho CRM alternative we’d recommend trying. We’ve spent time playing around inside HubSpot, and it feels more polished and approachable than Zoho while still giving you plenty of CRM horsepower.

What stood out to us wasn’t any single flashy feature. It’s how well HubSpot pulls the little pieces of a customer relationship together, so you can open a contact and quickly understand what’s been happening without digging around.

What We Like

HubSpot does an excellent job of putting the entire customer relationship in one place. When we opened a contact, we could quickly see what had happened, who had communicated with them, and where things stood without bouncing between different screens.

  • Complete timeline of emails, calls, meetings, notes, and other activity
  • Clean, easy-to-navigate contact records
  • Visual deal pipelines that are simple to understand
  • Free CRM tools make it easy to get started
  • Sales, marketing, and customer service tools work together
  • Huge selection of integrations
  • Plenty of room to add more advanced features as you grow

What We Don’t Like

The biggest catch is cost. HubSpot can look incredibly affordable when you start, but the features that make it really powerful can eventually push you toward higher-priced plans.

  • Advanced automation can require an upgrade
  • More sophisticated reporting is reserved for higher tiers
  • Adding users and functionality can increase costs quickly
  • Marketing tools can become particularly expensive as you grow
  • You may end up paying for features bundled into a tier that you don’t need

Our Take

Choose HubSpot over Zoho CRM if you want something that’s easier to get comfortable with while still giving you plenty of room to grow. We especially like it for businesses that want sales, marketing, and customer activity connected around one clear customer record.

Just go into it with your eyes open on pricing. HubSpot is easy to start using, but it can become a much bigger investment once you start taking advantage of everything it can do.

2) Pipedrive

Pipedrive feels different from Zoho CRM almost immediately. We’ve played around with both, and Pipedrive feels much more focused on one thing: helping you see your deals, figure out what needs to happen next, and keep them moving.

The visual pipeline is the star of the show. Instead of feeling like you’re navigating a giant customer database, you spend most of your time looking at opportunities, activities, follow-ups, and the next steps required to close each deal.

What We Like

Pipedrive keeps sales front and center. We found it refreshingly easy to open the pipeline, see where every deal stands, and identify which opportunities need attention without digging through menus or configuring a bunch of stuff first.

  • Excellent visual, drag-and-drop sales pipeline
  • Easy to see exactly where every deal stands
  • Activities and reminders keep follow-ups from slipping through the cracks
  • Contact information and deal history are easy to find
  • Less setup and configuration than Zoho CRM
  • Straightforward enough for a small sales team to learn quickly
  • Keeps you focused on the next action needed to move a deal forward

What We Don’t Like

Pipedrive’s simplicity can eventually become its weakness. Once you start asking it to handle more sophisticated reporting, marketing, automation, projects, and other business processes, you may find yourself reaching for additional tools or higher-tier plans.

  • Advanced reporting can feel limiting
  • Some useful features require higher-priced plans or add-ons
  • Marketing capabilities aren’t as extensive as broader CRM platforms
  • Less suited to complicated workflows outside the sales process
  • Growing businesses may eventually outgrow its sales-first approach
  • You may need other software to handle tasks that Zoho keeps within its larger ecosystem

Our Take

Choose Pipedrive over Zoho CRM if your main reason for having a CRM is to sell more and stay on top of your deals. Of all the CRMs we played around with, Pipedrive did one of the best jobs of keeping our attention on what needed to happen next.

That’s also why we’d hesitate if you’re looking for an all-in-one business platform. Pipedrive’s narrow focus is exactly what makes it so enjoyable to use, but it’s also what you could eventually outgrow.

3) Freshsales

Freshsales surprised us a little. We’ve played around with plenty of CRMs that promise to automate your sales process, but Freshsales does a particularly nice job of automating the small, repetitive tasks that eat up time every day.

You can manage leads, emails, calls, follow-ups, reminders, sequences, and deal activity without constantly jumping between different tools. Compared with Zoho CRM, we found it easier to get useful automation going without feeling like we needed to become CRM administrators first.

What We Like

Freshsales makes everyday sales automation feel approachable. We could set up workflows and keep track of follow-ups without spending a ton of time figuring out how everything worked, which is exactly what we’d want from a CRM designed for a small sales team.

  • Built-in email and communication tools
  • Automated email sequences and follow-ups
  • Lead scoring helps prioritize promising opportunities
  • Reminders keep important follow-ups from getting forgotten
  • Sales activities stay connected to contacts and deals
  • Automation feels relatively easy to set up
  • Less overwhelming than Zoho when handling everyday sales tasks

What We Don’t Like

Reporting is where Freshsales left us wanting more. There’s plenty of useful data going into the CRM, but getting exactly the insights you want out of that data can become frustrating once you move beyond basic reports.

  • Custom reports aren’t as flexible as we’d like
  • Advanced sales analysis can take more work
  • Dashboard customization has limitations
  • Detailed email performance data could be better
  • Filtering and organizing complex reports can become cumbersome
  • Larger teams with sophisticated reporting needs may hit limitations

Our Take

Choose Freshsales over Zoho CRM if you want to automate repetitive sales work without spending hours configuring your CRM. We particularly like it for teams that need help staying on top of leads, follow-ups, emails, and everyday sales activity.

We’d think twice if reporting is one of your biggest priorities. Freshsales does a nice job helping you collect and act on sales data, but we weren’t nearly as impressed when it came time to dig deeply into that data.

4) monday CRM

monday CRM was probably the most flexible CRM we played around with. Instead of forcing you into a predefined sales process, it gives you building blocks that you can customize around how your business actually works.

Where it really clicked for us was thinking beyond the sale itself. If you run an agency, consulting firm, or other service business, you can potentially take a customer from lead to closed deal to onboarding and ongoing project work without completely changing systems.

What We Like

monday CRM doesn’t have to stop when you mark a deal as won. We liked being able to connect the sales pipeline with the actual work that comes afterward, which makes it particularly interesting for businesses that sell ongoing services or projects.

  • Highly customizable pipelines and workflows
  • Connects sales with onboarding and project management
  • Great visual overview of leads, deals, and customer work
  • Automations can eliminate repetitive handoffs and status updates
  • Easy to adapt around unusual sales processes
  • Useful for managing both customers and the work you’re doing for them
  • Particularly well suited to agencies, consultants, and service businesses

What We Don’t Like

The downside is that monday CRM can sometimes feel like a platform for building a CRM rather than a CRM that’s already been built for you. Its flexibility is impressive, but we found that getting more sophisticated workflows, dashboards, and reporting exactly how you want them can require more configuration than expected.

  • More setup required to create advanced CRM workflows
  • Reporting and dashboards may need considerable customization
  • Traditional sales teams may miss more purpose-built CRM functionality
  • Sales forecasting isn’t its biggest strength
  • Lots of flexibility can become overwhelming
  • More complicated processes require more tinkering
  • May feel more like a work-management platform than a traditional CRM

Our Take

Choose monday CRM over Zoho CRM if winning the customer is only the beginning of your workflow. We especially like it for service businesses that need to move from lead to sale to onboarding to actually delivering the work.

Just remember that flexibility comes with responsibility. monday CRM gives you plenty of freedom to build the system you want, but we’d choose something like Pipedrive instead if you primarily want a purpose-built sales CRM that’s ready to go with less tinkering.

5) Less Annoying CRM

Less Annoying CRM was easily the simplest CRM we played around with, and we mean that as a compliment. It doesn’t try to become your marketing platform, project management system, customer service suite, and everything else at the same time.

Instead, it focuses on the CRM basics: contacts, leads, pipelines, notes, tasks, and follow-ups. If Zoho CRM feels like you’re getting 100 tools when you really need 20, Less Annoying CRM is almost the exact opposite experience.

What We Like

Less Annoying CRM feels like a CRM people might actually keep updated. Adding contacts, recording notes, checking your pipeline, and remembering follow-ups all feel straightforward, which matters when you’re a small business without someone dedicated to managing the CRM.

  • Very easy to learn and navigate
  • Simple contact and lead management
  • Straightforward pipelines without unnecessary complexity
  • Tasks and reminders make follow-ups easy to track
  • Minimal setup compared with more complicated CRMs
  • Accessible human customer support
  • Great fit for solo entrepreneurs and very small teams

What We Don’t Like

Less Annoying CRM stays simple partly by leaving things out. That works beautifully when you only need the basics, but growing businesses may eventually find themselves adding other software to handle things their CRM can’t.

  • Limited advanced sales automation
  • Fewer integrations than larger CRM platforms
  • No built-in email marketing platform
  • Reporting is relatively basic
  • Limited tools for complex workflows
  • Not designed for sophisticated sales organizations
  • You may eventually need to build a larger software stack around it

Our Take

Choose Less Annoying CRM over Zoho CRM if you want to spend less time managing software and more time following up with customers. Of everything we tried, this was the CRM that felt most comfortable saying, “Here’s what you actually need. Let’s keep it simple.”

That simplicity is also the tradeoff. If you already know you need sophisticated automation, reporting, marketing, and integrations, you’ll probably outgrow it. But if you’re graduating from spreadsheets, inboxes, and sticky notes, Less Annoying CRM is one of the easiest places to start.

2. Zoho CRM Alternatives Compared

After playing around with all five CRMs, we wouldn’t say there’s one that’s automatically better than Zoho CRM. The real question is what you want your next CRM to do better and which tradeoffs you’re willing to make.

Here’s the quickest way to compare the five options based on what stood out to us while using them.

CRM
Best For
What We Like Most
Biggest Drawback
Best overall
Puts the entire customer relationship in one place
Costs can climb quickly as your needs grow
Sales-focused businesses
Keeps you focused on moving deals forward
You may outgrow its sales-first simplicity
Everyday sales automation
Automates repetitive sales tasks without tons of setup
Reporting isn't as flexible as we'd like
Service businesses
Connects sales with onboarding and customer work
Requires more configuration and tinkering
CRM beginners
Simple enough that you'll actually keep it updated
Growing businesses may need more advanced tools

The biggest takeaway from our time with these platforms is that switching from Zoho doesn’t necessarily mean finding another CRM with the same massive feature list. In fact, we’d argue that’s the wrong way to approach it.

Figure out what’s frustrating you about Zoho first. If it’s complexity, look at Pipedrive or Less Annoying CRM. If you want a more polished all-around platform, start with HubSpot. If automation is the priority, Freshsales deserves a look. And if your customer workflow continues long after the sale, monday CRM has a flexibility we really liked.

3. How to Choose the Right Zoho CRM Alternative

Before switching CRMs, figure out what you’re actually trying to fix. It’s easy to get distracted by feature lists, but after playing around with these platforms, we found that the differences that matter most show up in how you’ll use the CRM every day.

Start with the thing you wish Zoho did differently. Then look for the CRM that solves that problem without introducing a new headache you weren’t expecting.

1) If Zoho Feels Too Complicated

Take a look at Pipedrive or Less Annoying CRM. Both strip away a lot of the complexity, with Pipedrive focusing heavily on sales and Less Annoying CRM keeping things even simpler for beginners and small teams.

2) If You Want a More Polished All-in-One CRM

HubSpot would be our first stop. We liked how easily contacts, deals, conversations, sales activity, and marketing can come together, but we’d price out the features you’ll eventually need before committing.

3) If You’re Tired of Repetitive Sales Tasks

Freshsales is worth trying. Its sequences, reminders, lead scoring, communication tools, and automation can take a surprising amount of everyday sales busywork off your plate.

4) If Your Work Continues After the Sale

This is where monday CRM stood out to us. Service businesses can connect leads and deals with onboarding, projects, deliverables, and ongoing customer work instead of treating “deal won” as the end of the process.

5) Don’t Switch Just Because Another CRM Looks Better

Moving years of contacts, notes, deals, workflows, and processes to another CRM can be a pain. Before switching, we’d sign up for a trial and recreate a small piece of your actual sales process rather than just clicking around a demo account.

Add a few real-world sample contacts. Build your pipeline, create some follow-ups, run a report, and try the tasks you perform every week. You’ll learn more in an hour of doing that than you will from comparing 50 features on a pricing page.

4. Which Zoho CRM Alternative Is Best?

After spending time with all five, HubSpot would be our pick for the best overall Zoho CRM alternative. It’s polished, relatively easy to get comfortable with, and does an excellent job of keeping your contacts, conversations, deals, and customer history connected.

But we wouldn’t automatically choose HubSpot for every business. Each CRM we tried has a particular type of user it makes more sense for, and choosing based on that fit is more important than picking whichever platform has the longest feature list.

  • Choose HubSpot if you want the best all-around alternative to Zoho CRM.
  • Choose Pipedrive if your main priority is managing leads and closing deals.
  • Choose Freshsales if you want to automate everyday sales tasks.
  • Choose monday CRM if you need to manage what happens before and after the sale.
  • Choose Less Annoying CRM if you want a simple CRM without a bunch of stuff you don’t need.

The biggest lesson from playing around with these CRMs is that more features don’t necessarily make a better CRM. The best CRM is the one your team understands, keeps updated, and actually uses to stay on top of customers and opportunities.

5. Zoho CRM Alternatives: FAQs

Here are a few quick answers to common questions you might have before moving away from Zoho CRM. Just remember that switching CRMs can be a hassle, so we’d always recommend trying your top choice with a small sample of your actual sales process before migrating everything.

1) What is the best alternative to Zoho CRM?

HubSpot is our pick for the best overall Zoho CRM alternative. We found it more approachable than Zoho while still offering enough sales, marketing, automation, and customer management tools to support a growing business.

2) What is the easiest Zoho CRM alternative to use?

Less Annoying CRM was the simplest option we tried. If you primarily need contacts, leads, pipelines, tasks, notes, and follow-up reminders, there’s considerably less to figure out than with Zoho CRM.

3) Is HubSpot better than Zoho CRM?

It depends on what you value. We prefer HubSpot’s overall user experience and the way it brings customer activity together, but Zoho can offer a lot of functionality for the money.

HubSpot can also become expensive as you add more advanced features. We’d compare what you’ll need a year or two from now rather than looking only at each platform’s entry-level price.

4) Is Pipedrive better than Zoho CRM?

Pipedrive may be better if you primarily want a CRM for managing a sales pipeline. We found it easier to see where deals stood, what needed attention, and what action should happen next.

Zoho makes more sense if you want a broader collection of business tools and deeper customization. Pipedrive’s narrower sales focus is both its biggest strength and its biggest limitation.

5) What is the best Zoho CRM alternative for a small business?

For most small businesses, we’d start with HubSpot, Pipedrive, or Less Annoying CRM. HubSpot gives you room to grow, Pipedrive is excellent for managing sales, and Less Annoying CRM is our favorite for businesses that simply want an easy CRM without unnecessary complexity.

6) Should I switch from Zoho CRM?

Don’t switch just because another CRM has a nicer interface or an impressive feature list. Identify what isn’t working with Zoho, pick the alternative that specifically solves that problem, and recreate part of your real sales process during the trial.

If the new CRM makes the work you do every week noticeably easier, you’ve probably found a good reason to switch. If it doesn’t, migrating everything may create more trouble than it solves.
